Field Service Fit Find the software that fits your trade

Independent software guidance for HVAC shops

Find the software that fits your trade.

Most “best HVAC software” lists are written by the vendors selling the software. We test field-service platforms like an operations manager would — from first call to final payment — and show which one fits your crew size, your workflow, and your budget. Starting with residential HVAC shops running 1–10 trucks.

The four, at a glance First reads from test wave one — rankings publish after hands-on testing. Not sure? Answer 6 questions →

Jobber

Built for small crews — quote, schedule, and invoice from one simple screen.

Housecall Pro

The customer-experience play — online booking, text updates, and review requests built in.

FieldPulse

The dispatch-control option — for crews that have outgrown a simple calendar.

Workiz

Built around the phones — call handling and getting paid, front and center.

Tool 01 · Software Finder

Answer six questions. Get a shortlist, not a sales pitch.

The Finder scores the platforms in our test program against your crew size, your worst daily headache, and how your team actually works. You’ll get a first pick, a runner-up, and — just as important — the popular pick that probably isn’t for you.

Question 1 of 6

Prototype note: this Finder runs the rule set from our published scoring rubric. When hands-on testing begins, the same questions will be scored from dated test evidence instead of editorial judgment — and every result will say which.

Method · The standard test

One sample job, run end to end in every platform

A feature list can’t tell you how software behaves on a Tuesday with three callbacks and a tech out sick. So we run the same real job through every platform — and we log what breaks, what’s buried, and what it actually costs.

STEP 01

Intake

Create a customer, capture a call, and book the job.

STEP 02

Quote

Build good / better / best options, send, revise, and record the approval.

STEP 03

Schedule & dispatch

Assign a tech, reschedule, notify the customer, and squeeze in an urgent job.

STEP 04

Field execution

Run it from the truck: notes, photos, status changes, and a customer signature.

STEP 05

Invoice & payment

Convert the work to an invoice, take payment, and inspect the processing constraints.

STEP 06

Follow-up

Send the review request, the maintenance reminder, and set up the recurring agreement.

STEP 07

Control

Check permissions, exports, reports, the audit trail, and the handoff to accounting.

STEP 08

Failure test

Correct a mistake, cancel a job, issue a refund, and recover the exported data.

Tested

We performed the workflow ourselves and saved dated evidence. This is the only basis for usability claims.

Vendor-verified

Confirmed in the vendor’s current pricing, documentation, or a recorded demo. Used for features, limits, and plan inclusion.

User-reported

A pattern from owner and dispatcher interviews, always shown with its source and date. Covers adoption, support, and real-world friction.

Unknown

Not publicly confirmed, or not available in our access. Shown openly — never filled in with a guess.

How the score is built

There is no universal “best.” We publish fit scores for different shop profiles from one frozen rubric — set before testing starts, and never adjusted to suit a sponsor.

In the lab now

Four platforms go through the standard test first. Nothing here is ranked yet — rankings get published only when the test evidence exists to stand behind them.

Jobber

Test scheduled

The small-crew benchmark

Built for owner-operators who quote, schedule, and invoice from the same screen. In most small shops this is the tool to beat on simplicity.

What we’re watching: quote follow-up, crew adoption on day one, and where a growing shop starts to feel boxed in.

Housecall Pro

Test scheduled

The customer-experience play

Leans hard into customer communication — online booking, text updates, and review requests — with marketing tools layered on top.

What we’re watching: total cost once add-ons stack up, and whether the automation helps or just adds noise.

FieldPulse

Test scheduled

The dispatch-control option

Aimed at shops that have outgrown simple scheduling and want tighter control of the board, custom workflows, and reporting.

What we’re watching: dispatch depth under pressure, setup burden, and how much configuration a 5-truck shop really needs.

Workiz

Test scheduled

The phones-and-payments angle

Built around call handling and getting paid — phone system, booking, and payment tools aimed at service businesses that live on inbound calls.

What we’re watching: call-to-booked-job flow, payment costs, and how it holds up for agreement work.

From the shop floor

The five decisions behind every software choice

Every guide, review, and comparison on this site is organized around the moment you’re actually in — not around a vendor’s feature grid.

01

First system

What is simple enough to adopt this month without boxing us in next year?

02

Replacement

Which product actually fixes the failure that made us leave the last one?

03

Growth

Will it still work with 10 techs, multiple roles, and real reporting?

04

Demo pressure

What should we test ourselves before a salesperson controls the conversation?

05

Total cost

What will we actually pay — users, payments, add-ons, setup, and migration included?

Editorial policy

How we keep this honest

This site earns referral fees when a reader signs up with a vendor. That model only works if the recommendation stays worth trusting — so the rules below are structural, not aspirational.

RULE 01

No pay-to-rank

Payment never changes a score or a position. The rubric is frozen before testing starts, and affiliate status lives in a separate field from every score we publish.

RULE 02

Disclosed before the link

Any referral relationship is stated above the first link it applies to — in plain language, not buried in a footer. If the best-fit tool pays us nothing, we say so and link it anyway.

RULE 03

Dated, correctable, owned

Every price and feature claim carries a verification date. Money pages are re-checked monthly, deep reviews quarterly, and corrections are logged in public view.

Reviewed by a working operations manager — 20+ years running production

Every recommendation here is reviewed by a production and quality manager who has spent two decades running schedules, staffing crews, and dragging paper processes into digital systems. The review question is always the same: does it work on the worst day, not the demo day? We’re the first to say operations leadership isn’t HVAC ownership — which is why owner and dispatcher interviews are built into every test cycle. (Named reviewer bio goes live at launch.)
